Draft. This document is under legal review and is not yet in effect. Highlighted text in brackets is still to be filled in.

This policy explains what personal information HeadhuntEZ collects, how we use and share it, and the choices and rights you have. It covers visitors to our website, our business customers and the people who use HeadhuntEZ for them, and candidates: people we may identify, contact or speak with on a customer's behalf.

1. Who we are

HeadhuntEZ, Inc. ("HeadhuntEZ", "we", "us") operates www.headhuntez.com and the HeadhuntEZ platform, a service that helps businesses decide whether work needs a person, an AI agent, or both, and helps them find and reach the people they need.

Our mailing address is [mailing address]. You can reach us about privacy at eric@headhuntez.com.

2. Information we collect

Website visitors. Our website does not use cookies, analytics or advertising trackers. Our hosting provider processes the technical information needed to deliver the site, such as your IP address, browser type and the pages you request, in server logs.

Reading Insights. Your browser remembers, in its own local storage, which of our articles you have read through and which you marked useful, so we do not offer them again and do not count your mark twice. This stays on your device and is never sent to us. Separately, we count on our servers how many times each article is opened, read through and marked useful, without cookies or anything that identifies you. Videos and posts from other services, such as YouTube, Instagram, X or Telegram, load only if you click them; that service may then collect information under its own policy.

Ask HeadhuntEZ. When you use the role check on our website, we collect what you type - the role, what the work involves, and the industry and size of the company - the email address you give us for the report, and, if you tick the box, your request to hear from us. We count how far visitors get through the check on our servers, without cookies or identifiers in your browser.

Insights. If you subscribe on our Insights page, we collect your email address to send you new articles and other news about HeadhuntEZ. If you follow an author, we collect your email address to tell you when that author publishes. If you ask us to email you an article, we collect your email address to send you its link; that alone does not sign you up for anything else.

Customers and their users. When a business uses HeadhuntEZ we collect:

  • account details, such as name, work email, company and job title;
  • information you give us about your company and the roles you are considering, such as team structure, plans and job descriptions;
  • messages and content you create or approve in the platform;
  • billing details, which our payment provider processes for us;
  • usage and device information, such as log data, to run and secure the service.

Candidates. To find and reach people on a customer's behalf we collect:

  • professional information from licensed data providers and from public professional sources made available for this purpose, such as name, current and past roles, employer, skills, general location and professional contact details;
  • messages we send on a customer's behalf and your replies;
  • calls with our AI phone concierge: the audio recording, a transcript, and what you share on the call, such as questions about pay, benefits or availability;
  • scheduling details when a meeting is booked.

3. How we use information

  • to provide the service: analyzing roles, recommending a person, an agent or both, identifying and contacting candidates, screening calls and booking meetings;
  • to analyze the role you describe with Ask HeadhuntEZ, email you its report, and, only if you asked for it, send you news about HeadhuntEZ;
  • to email you new Insights articles and news about HeadhuntEZ, if you subscribed, new articles by an author you follow, and an article you asked us to send you;
  • to share candidate information with the customer you are being considered for;
  • to communicate with customers and candidates about the service;
  • to secure, maintain and improve the service, including with information that has been aggregated or de-identified;
  • to comply with law and enforce our terms.

We process information with AI models that run on our own infrastructure or through providers hosted in the United States or the European Union. A recommendation from HeadhuntEZ is an input to a customer's decision; the customer makes every hiring decision.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

4. Outreach and calls

A customer approves outreach before we send it on their behalf. Every message carries a link to stop hearing from us, and you can also reply and ask. When you opt out we keep the minimum needed to make sure you are not contacted again.

When you speak with our AI phone concierge, it tells you at the start that it is an AI assistant and that the call is recorded and transcribed. Where the law requires your consent to record, we ask for it, and you can end the call at any time.

5. Ask HeadhuntEZ reports

Your report has its own web address, which we send only to the email address you gave. Anyone you share the link with can open it. A report does not show your email address.

We may publish a report in the catalog on our website. A published report shows the role and its analysis, never your email address, and we leave out anything that would identify you or your company.

To write a report we send your description, without your email address, to the AI model providers we use, and we check the tools it names against public sources such as software registries, public job postings, SEC filings and forum comments.

Every news email we send has a link to stop them; reports you ask for still reach you.

6. How we share information

  • with the customer on whose behalf we contacted or spoke with you;
  • with service providers who work for us under contract, such as hosting, data storage, AI model, email, telephony, scheduling and payment providers;
  • when the law requires it, or to protect the rights, safety and security of our users, the public or HeadhuntEZ;
  • in connection with a merger, acquisition or sale of assets, subject to this policy;
  • with your consent.

7. Your choices and rights

Depending on where you live, you may have the right to know what personal information we hold about you, to get a copy, to correct it, to delete it, and to opt out of its sale or sharing (we do neither). Residents of California and other US states with privacy laws have these rights under those laws, and we will not discriminate against you for using them.

If you are in the European Economic Area or the United Kingdom, you also have the right to object to or restrict our processing and to complain to your data protection authority. We rely on our legitimate interests in running a recruiting service, on our contracts with customers, and on consent where it is required.

To make a request, email eric@headhuntez.com. We will verify your request before acting on it, and you may use an authorized agent. If we decline a request, you can appeal by replying to our answer. Where we act on a customer's behalf, we may also pass your request to that customer.

8. How long we keep information

We keep personal information for as long as we need it for the purposes above, including to provide the service, meet legal obligations and resolve disputes, and then delete or de-identify it. Opt-out records are kept so the choice stays honored.

We keep what you send through Ask HeadhuntEZ, and the report made from it, until you ask us to delete it: email eric@headhuntez.com. We may keep the analysis itself, with your email address and description removed, to improve the service.

9. Security

We use administrative, technical and physical safeguards designed to protect personal information, and we keep each customer's information separate from every other customer's. No system is perfectly secure, and we cannot guarantee absolute security.

10. International transfers

We store and process information in the United States. When we transfer personal information from the European Economic Area or the United Kingdom, we use safeguards recognized by law, such as standard contractual clauses.

11. Children

HeadhuntEZ is a business service and is not directed to children under 16. We do not knowingly collect their personal information.

12. Changes to this policy

We may update this policy. We will change the date above when we do, and tell customers about material changes before they take effect.
